Customer Challenge: Establishing Effective Communication Across a Global Network

GS1 Canada is a non-profit organization that develops and maintains global standards to improve the efficiency of business communication. With over 110 global offices, GS1’s standards create a universal language that supports systems and processes worldwide. 

Recognizing that a unified and reliable communication channel is crucial for global business trade, GS1 sought to improve communication and productivity within its workforce. Currently using Microsoft 365 with its comprehensive productivity applications and security features, GS1 chose Microsoft Teams as their primary productivity and messaging platform. However, they faced a significant challenge: ensuring all employees effectively embraced and utilized the new communication tool. 

The Solution: Ensuring Microsoft Teams Rollout Success with Ambassadors and Strategic Planning

Under ProServeIT’s guidance, GS1 embarked on a phased implementation approach. The initial step was to assess the viability of Microsoft Teams for their organization. ProServeIT assisted GS1 in creating Proof of Concept pilots for two departments, appointing ambassadors and champions to generate excitement and enthusiasm among end-users for Teams. 

ProServeIT provided best practices and helped GS1 develop a comprehensive success plan, which included:  

  A stakeholder engagement plan

  A communication plan

  A training plan 

  A plan to measure success  

With these plans and best practices in place, GS1 ensured that initial users were comfortable with the new tool before a full rollout of Teams.

Impact: Improved Communication and Productivity with Microsoft Teams

Following the successful pilot program, GS1 implemented Microsoft Teams across the entire company. Thanks to the change management training provided and seamless onboarding, employee adoption significantly increased. 

Microsoft Teams improved GS1’s overall work environment, transforming traditional departments into agile teams. The ambassadors and champions facilitated a smooth transition to the new platform, enhancing remote work capabilities without issues.  

With employees now working remotely, GS1 plans to roll out Teams Phone as their telephony system and use Teams for their call center. This initiative aims to enhance customer support and explore future system integrations to create a unified digital environment, simplifying global business communication and collaboration.
