Customer Challenge: Overcoming Disconnected Processes and Scaling Issues

The Firearms Safety Education Service of Ontario (FSESO) is a non-profit organization that promotes firearms safety and education.

FSESO ran into challenges that limited their ability to scale and operate efficiently. FSESO had an outdated Dynamics on-premises system that was being used ineffectively and a custom software application that relied on manual processes. They lacked integration between front-end and back-end systems and had a disconnect between their business to consumer (B2C) and business to business (B2B) platforms.

They wanted to develop an integrated technology strategy with a customer relationship management (CRM) system that aligned with RCMP policy and procedures, as well as their business goals and objectives.

The Solution: Integration and Productivity Enhancement with Dynamics CRM Online and Microsoft 365

While FSESO had initially created Microsoft Access-based archival applications, they faced a disjointed data flow. This led to the necessity of developing a robust core application that could seamlessly integrate with third-party applications and services.

To address this, ProServeIT suggested a redesign and implementation of Microsoft Dynamics CRM Online as their central business application, thereby managing all student and instructor-related processes and data. The FSESO website underwent an upgrade to enable secure backend integration with Dynamics CRM Online. As an additional measure to boost productivity, we proposed that all employees use Microsoft 365. In a step towards digital transformation, we further advised that all business and productivity applications undertake a cloud migration to become cloud-based applications. This move aimed to free the team from location constraints and facilitate integrated CRM system workflows.

The Impact: Boosted Efficiency, Security, and Operational Expansion with Cloud-Based Solutions

The implementation of Dynamics CRM and Microsoft 365 had a significant impact on FSESO's ability to operate more efficiently and provide opportunities for growth.

Digitizing and streamlining their processes optimized their business, improved security and student/instructor experiences, and increased staff productivity. Cost and risk optimization was also accomplished through expense reduction and improved financial management.

FSESO is now better equipped to manage an end-to-end process to increase their service area, to expand their safety programs, and to achieve greater overall efficiency.
